Size and colour variants on WooCommerce orders are re-keyed into Epicor Kinetic by hand, and a wrong or missing part number means the wrong item ships or the order stalls. This template starts on each new WooCommerce order, checks Epicor Kinetic for a duplicate, finds the customer by email, creates the sales order header, matches each line's variation SKU to an active Epicor part, adds valid lines, emails the team through Microsoft Outlook about any line that fails, and writes the Epicor order number back to WooCommerce.

How the template works
A new WooCommerce order starts the flow, which checks Epicor Kinetic for the same order, finds the customer by email and creates the sales order header. Order lines are combined by SKU, each variation SKU is matched to an active Epicor part, valid lines are added to the order, failed lines are emailed through Microsoft Outlook, and the Epicor order number is written back to the WooCommerce order.
Customer matched and order header created
The shopper is looked up in Epicor Kinetic by email address. A sales order header is created with the order and customer details from WooCommerce.
Order lines prepared
Lines that share a SKU are combined, the variation SKU is used for size and colour variants, and quantity, unit price and discount are calculated for each line.
Part lookup and validation per line
Each line is checked one at a time: Epicor Kinetic is searched for a part matching the SKU, and the line passes only if a SKU is present, the part exists and the part is active. Failed lines carry a reason.
Valid lines added, failed lines emailed
Valid lines are added to the Epicor sales order with the matched part, quantity and price. For each failed line an email goes out through Microsoft Outlook with the order number, product details and the reason.
Order number written back
The Epicor Kinetic order number is written to the WooCommerce order, so both systems reference the same record.
