What This Workflow Does
Online orders that never reach the POS leave sales and gift cards split across two systems. This template starts on each new Shopify order, matches items by SKU, posts the sale in Lightspeed Retail X and, for gift card orders, issues the card in both systems and emails the buyer.

Inside the flow
How the template works
When a new Shopify order is placed and passes an eligibility check, the flow matches each item in Lightspeed Retail X by SKU. Gift card orders post the sale to the buyer, found by email, and issue the card in both systems; other orders post as standard sales.
Match items by SKU
Each order line is looked up in Lightspeed Retail X by SKU, then the results are gathered into one order.
Route the order
Orders with a gift card take the gift card route. All other orders take the standard sale route.
Post the gift card sale
The buyer is found in Lightspeed Retail X by email and the sale is created. The Lightspeed reference is written back to the Shopify order.
Issue and confirm the gift card
The gift card is created in Lightspeed Retail X and in Shopify. On success, Microsoft Outlook emails the buyer and Airtable logs the card; on failure, Microsoft Teams is alerted.
Post standard sales and alert on failure
Other orders are posted as sales in Lightspeed Retail X with the reference sent back to Shopify. If a sale fails, Microsoft Teams gets a message naming the order.
