Capture the new sales order
When a sales order is created in NetSuite, the flow pulls the full order with its line items and addresses.
Send each new NetSuite sales order to your 3PL as an EDI 940, then turn its shipment files into NetSuite invoices, item fulfillments, EDI 810s and EDI 856s

About this template
Sending orders to a 3PL and turning its shipment files back into NetSuite records usually means hand-built EDI files on both sides. This template sends each new NetSuite sales order to the 3PL as an EDI 940, then on a schedule reads the 3PL's EDI files to create the invoice and item fulfillment in NetSuite and upload an EDI 810 and EDI 856.
Key benefits
Inside the flow
Outbound, a new NetSuite sales order starts the flow, AI extracts the pick details, and the result is converted to an EDI 940 and uploaded to the 3PL. Inbound, a scheduled run downloads the 3PL's EDI files, creates the NetSuite invoice and item fulfillment, and uploads an AI-generated EDI 810 and EDI 856.
When a sales order is created in NetSuite, the flow pulls the full order with its line items and addresses.
An OpenAI model extracts what the 3PL needs to pick and ship, and a converter puts the output into a consistent structure.
The structure is translated into an EDI 940 warehouse shipping order and uploaded to the 3PL's FTP/SFTP folder.
On a set schedule, a second flow lists the 3PL folder, keeps only EDI files, then downloads and parses each one. The business sets the folder paths.
The flow creates an invoice in NetSuite, generates an EDI 810 from it with AI and uploads the invoice file to the 3PL folder.
In parallel, it creates an item fulfillment in NetSuite, generates an EDI 856 advance ship notice with AI and uploads the file to the 3PL folder.
What changes when NetSuite and your 3PL exchange EDI files automatically
01
New NetSuite sales orders land in the 3PL folder as EDI 940s, removing the lag between selling and shipping.
02
Shipment files from the 3PL become item fulfillments, so your records match what left the warehouse.
03
The invoice and its EDI 810 are created from the shipment data, so billing no longer waits on someone reconciling 3PL reports.
04
The 810 and 856 come from the same inbound file, keeping billing and shipment documents aligned.
05
Scheduled pickup, file filtering and generated EDI documents absorb higher order volumes without manual file handling or rekeyed order lines.
