What This Workflow Does
Building advance ship notices by hand from NetSuite fulfillments is slow, and one missing field can get an ASN rejected by the trading partner. This template starts when a new item fulfillment is created in NetSuite, pairs it with its sales order, checks required fields (alerting a user in Microsoft Teams if any are missing), then uses OpenAI to draft the ASN, converts it to X12 856 and uploads the file to FTP/SFTP.

How the template works
The flow starts when a new item fulfillment is created in NetSuite, pulls the fulfillment with packaging and tracking details plus the sales order with line items and address, and checks every required ASN field. Incomplete records trigger a Microsoft Teams message and stop the flow; complete records are drafted by OpenAI, standardized, converted to X12 856 and uploaded to FTP/SFTP.
Read fulfillment and sales order
The flow pulls the fulfillment with packaging and tracking details, then the originating sales order with its line items and address.
Check required ASN fields
Data from both records is gathered into one set, and the flow confirms every mandatory EDI 856 field is present.
Alert in Microsoft Teams if data is missing
If a required field is missing, the flow messages a designated user in Microsoft Teams and stops, so no incomplete ASN is created.
Draft and convert the ASN
OpenAI turns the shipment and order data into a structured ASN draft, which is standardized and converted to X12 856 format.
Upload the 856 file
The finished file is uploaded to the configured FTP/SFTP location, ready for transmission to the trading partner.
