Inside the flow
appse ai runs this workflow end to end for SAP Business One — automatically, every single day. Here is exactly what happens when this template runs.
Every 3 minutes, the flow automatically polls SAP Business One for newly created inventory items, ensuring every product added to your ERP is detected in near real-time without any manual intervention and supporting continuous SAP Business One Shopware product sync.
Before processing any product further, the flow checks whether it has already been synced to Shopware by verifying the presence of a web ID on the SAP record, automatically skipping items that are already published and preventing duplicate storefront listings.
For each new product that passes the duplicate check, the flow retrieves live warehouse stock data from SAP Business One and calculates true sellable quantity by subtracting committed stock from total on-hand, floored at zero to prevent negative inventory values.
The product name, dimensions, and weight are sent to OpenAI GPT-4.1, which acts as an eCommerce copywriter and returns an SEO-optimized product title, a rich HTML description with headings and bullet points, and suggested category paths for generative AI product catalog creation.
The AI-generated content is automatically parsed and converted from raw text into structured data, ready to be mapped cleanly into Shopware product fields without any manual reformatting or intervention.
The flow creates the product in Shopware populated with item code, barcode (EAN), pricing from the SAP price list, calculated available stock, and the AI-generated HTML description, all in a single automated step, created in draft status pending human review before going live.
Once the product is successfully created in Shopware, the new Shopware product ID is written back into SAP Business One against the original item record, creating a permanent bidirectional link between your ERP and storefront.
The flow verifies that the Shopware product ID was successfully returned and recorded, ensuring the sync completed without data gaps before triggering any downstream team notifications.
If the product sync is confirmed, an automated message is posted to a designated Microsoft Teams channel with the product number and a direct link to the Shopware admin panel, enabling the responsible team member to review and publish with a single click.
